Caseload Calendar · for speech-language pathologists

Speech schedules that cover every minute.

Enter your availability and each student's IEP minutes. Get a week of sessions and groups that respects classroom schedules — with any shortfall flagged, with its reason, before anyone asks about it.

No credit card. Unlimited students is $39/year — yours, not a district purchase.

Built for the group-heavy, minute-counted SLP week

Fifty students, one calendar

An SLP caseload is dozens of mandates against one set of hours. Enter minutes per student and service, paint your availability once, and let the scheduler do the arithmetic — with the deficit spelled out when your week genuinely can’t hold it all.

Groups that actually work

Students with the same service, overlapping free time, and grades within two levels are grouped up to your size limit — and split back into individual sessions when the overlap disappears. No more penciled-in trios that never shared a free period.

Classroom teachers keep their say

Every student’s do-not-pull times — core instruction, lunch, specials — are respected in every proposal. If you drag a session onto a protected block anyway, it warns you and lets you decide.

The minutes hold up when someone asks

Scheduled vs mandated minutes per student, always in view, red when short. Print a per-student one-pager or a whole-caseload week grid with the minutes table — generated in your browser, so student data stays on your machine.

Your caseload spreadsheet is the setup

Most SLPs already keep a spreadsheet of students, services, and minutes. Import it as a CSV, mark do-not-pull times, and the first draft of your week is one click away. Initials or first names are all it needs — never full legal names.

Common questions

How do I schedule a speech therapy caseload?

Enter each student’s IEP minutes per week and the class times they can’t be pulled, then paint your own available hours. Caseload Calendar proposes a full week in one click — individual sessions and groups — and tells you the exact reason whenever a mandate can’t fit.

Can it group students for speech sessions automatically?

Yes. Students with the same service type, overlapping free time, and grades within two levels of each other are grouped automatically, up to the maximum group size you set per mandate. Groups split back into individual sessions when they stop fitting.

What happens when a student’s schedule changes mid-year?

Update their do-not-pull times and re-run. Sessions you’ve confirmed or locked stay put — only unconfirmed proposals are replaced — so one classroom change never scrambles your whole week.

Does it track service minutes for IEP purposes?

The tally shows scheduled vs mandated minutes per student, flagged red when short, and the printable week grid includes the same table. It’s a schedule and coverage check, not a service log — you still document delivered sessions your usual way.

What does it cost?

Free for up to 5 scheduled students with every feature included. Unlimited students is $39 per year for an individual clinician — no district purchase order needed.
