Common questions
Can I use Evident without paying?
Yes, and not on a clock. The Free plan covers a full class of up to 30 students with daily tracking, the parent portal, printable charts, and translated family updates. No credit card, no trial timer, and it does not expire.
So what do I actually pay for?
Documents. PDF reports, evidence packets, CSV export, and the AI progress narratives that draft from the data you already tracked, not from a blank prompt. Your first PDF report or packet is free, so you can see one before you pay. The tracking underneath is the same on both plans, which is why the free plan runs a whole class. Upgrade whenever a meeting needs a packet; nothing is deleted if you later cancel.
What free teaching tools come with an account?
A free account covers the daily job: tracking for a full class, the parent portal with QR codes, translated family updates, printable charts, the goal library, and scheduling for up to 5 students. Alongside it, a shelf of tools needs no account at all: IEP data collection sheets, the BIP draft builder, the service minutes calculator, pull-out schedule templates, and the guides and team checklists. All of it is free to keep using, whether or not you ever pay.
Can I change plans later?
Individual Pro: upgrade or cancel anytime from Settings; when you downgrade you keep paid access until the end of the billing period. School plans are annual licenses paid up-front by card or invoice/PO, with renewals reviewed at the end of each term, and you can add seats mid-term at the per-seat overage rate listed on each plan.
Is the Caseload Calendar scheduler included?
Scheduling up to 5 students is free for everyone, and unlimited scheduling is included with Pro and school plans. On the Free plan, unlimited scheduling is a separate $39/year add-on for an individual teacher, SLP, or counselor. See Caseload Calendar for details.
Who owns the records?
On a free or Pro account, the records belong to the teacher who made them, and sharing a student with a colleague does not change that. On a school license, the records belong to the school: they stay when a teacher leaves, and the school's administrators keep access and the audit trail.
What happens to my data if I downgrade?
Your data is always safe. If you exceed the Free tier limits after downgrading, you can still view existing data but cannot add new students beyond the limit.
How does Evident support FERPA-conscious workflows?
Evident is designed for FERPA-conscious student-support workflows. Schools remain responsible for their own FERPA obligations, and Evident supports those workflows with role-based access, parent visibility controls, audit logging, data export/delete workflows, and signed DPAs where appropriate. Do you support schools outside the US or with EU data-residency requirements?
Yes. Pricing is the same worldwide, in USD. Schools are hosted on encrypted US infrastructure by default, and schools that need EU data residency can be onboarded to a dedicated EU deployment where student records are stored and processed in the European Union. A signed DPA is available either way. See our compliance page for details.
Can a district pilot Evident, and is there district pricing?
Yes to both. Districts can run a structured pilot with a small group of teachers, special education coordinators, or MTSS leads before committing. District / multi-school contracts start at $20,000/year and are custom-quoted. Email schools@evidentk12.com or call/text (302) 440-4592 for procurement, DPA/NDPA, and rollout planning.
