- Export the PDFs you will need (progress reports, packet PDFs) while you have access; PDF export is Pro or a school plan.
- Settings, then Download my data, saves a copy of your account data on any plan.
- Archive students who are leaving your roster; their history is kept.
- Transfer students to next year's teacher when that teacher is in your organization.
- Keep returning students active so multi-year goals continue without a break.
The end of the year is a handoff. Save what you will need over the summer, clear your active roster, and make sure students whose history matters next year are with the right person.
Save what you need
On Pro or a school plan, download final PDF progress reports from each student's Behavior chart tab (Download Report) and IEP progress reports from the Goals tab, plus any packet PDFs.
On any plan, Settings has Download my data, which exports your profile, students, charts, logs, evidence notes, and packets as a data file.
Archive students who are leaving
For students who are graduating, moving schools, or leaving your caseload, use Archive Student. They leave the active roster and keep their history. Avoid Delete Permanently during cleanup.
Transfer or keep returning students
If next year's teacher is in your Evident organization and already has an account, use Transfer Student so they inherit the charts, goals, and logs.
Students staying with you need nothing. Keeping them active is better than recreating them in the fall.
Do it before summer staffing changes
On a school plan, coordinate with your administrator before staff are removed over the summer. A removed member's students drop out of school-wide views until that person is added back, so transfer students before an account is removed.

Do I have to delete last year's students?
No. Archive students who are moving on. Their history is kept and your roster is clear for the new year.
How do multi-year IEP goals carry over?
Keep the student active or transfer them to the next teacher. The goals and data points continue on the same record.
