Archiving, transferring, or removing a student without deleting evidence

How to archive an inactive student, transfer a student to another teacher, or remove a record, with your daily logs and evidence preserved every time.

Students move, caseloads shift, and sometimes a record is created by mistake. Evident handles all three without throwing away the evidence you collected, as long as you reach for Archive Student rather than Delete Permanently.

Archive an inactive student

When a student no longer needs daily logging but you want to keep their record, archive them. Archiving removes them from your active dashboard so your daily view stays focused, while preserving the chart, logs, and evidence underneath.

This is the right choice at the end of a grading period or when a student exits a service but you may still need their data for a report or a future reference.

Transfer a student to another teacher

When a student changes caseloads, transfer the record to the receiving teacher or case manager rather than re-creating it from scratch. The student keeps their chart and history, and the new owner picks up logging from where the last entry left off.

Coordinate the timing with the receiving staff member so there is no gap in daily logging. A short handoff conversation prevents a missing stretch of evidence during the transition.

Removing a record safely

If a student was added by mistake or genuinely needs to come off your roster, use Archive Student. Archiving hides the record from your active list without destroying the logs and evidence, which protects you if the record turns out to matter later.

The student menu also has a Delete Permanently action, and it does what it says: the student, their charts, and every log are erased and cannot be recovered. Daily evidence is exactly the kind of record you do not want to erase by habit, so reserve deletion for records you are certain should not exist, and reach for Archive everywhere else.

Finding archived students later

Archived students are not gone; they are out of your active view, and their data is retained. The Archived students section at the bottom of your roster lists them, and Restore returns a student to active tracking with their full history intact.

If you cannot locate a student you expect to see, also check whether the record was owned by another staff member or transferred during a staffing change, and ask your administrator.

Frequently asked questions

Does removing a student delete their evidence?

Archiving does not: the daily logs and evidence are preserved. Delete Permanently does, completely and irreversibly. If your intent is cleanup rather than erasure, always archive.

What is the difference between archiving and transferring?

Archiving keeps a student on your account but out of the active view. Transferring moves the student to another teacher or case manager who continues logging.

Can I get an archived student back into my active list?

Yes. Open the Archived students section at the bottom of your roster and choose Restore. The student returns to your active list with all charts and history intact.

What happens to logs when a student transfers?

They go with the student. The new owner sees the existing chart and history and continues from the last entry, so the evidence stays continuous.
